However, every request is considered in good faith, taking into account reasonable accommodation, the venue's technical capabilities and legal requirements.

6.6. If participants discover suspicious objects, dangerous situations, signs of fire, smoke or another threat, they must immediately notify staff and refrain from taking independent action that could increase the danger.
7. Air raid alerts, shelling and other emergencies
7.1. As the Event is taking place in Ukraine under martial law, the organiser provides for special safety measures in the event of an air raid alert, threat of shelling, fire, technical accident or other emergency.
7.2. Before the Event begins, the organiser and venue management must identify:

7.8. If the Event cannot safely continue, the organiser informs participants of the next steps through available communication channels.
7.9. The financial consequences of postponing, ending early or cancelling the Event are determined in accordance with Ukrainian law and the published ticket purchase and refund terms. This Code does not limit consumers' statutory rights.
7.10. Participants are advised to refrain from publishing material that could reveal sensitive aspects of safety arrangements, people's movements or other people's personal data if sharing it creates risks for those present.
However, information necessary for safe evacuation must not be withheld from participants.
8. Medical assistance and responding to health emergencies
8.1. In the event of a sudden deterioration in health, injury or another situation that may require medical assistance, the participant or a witness must immediately notify the nearest member of the organising team.

9.3. Photography in other areas of the Event is permitted provided that the rights and privacy of those present and the venue's rules are respected.
9.4. Participants must respect other people's requests not to be photographed at close range, not to have individual portraits created, or not to have personal material shared without consent or another appropriate legal basis.
9.5. Particular care must be taken when photographing children, people in vulnerable circumstances and people who have sought assistance.
9.6. Covert recording is prohibited in places where a person reasonably expects privacy, as is the use of recorded material for harassment, humiliation, discrimination or harm.

- ● information about the people involved, if known;
- ● whether there were any witnesses;
- ● any available supporting material;
- ● whether there is an immediate threat to safety.
10.4. The absence of particular details is not a reason to automatically refuse to consider a report.
10.5. Reports may also be made by witnesses or third parties. Anonymous reports are considered within the limits of the available information and the practical ability to verify the circumstances.
10.6. The organiser seeks to handle reports confidentially and limit access to information to those directly involved in responding to the incident.
Complete confidentiality is not guaranteed where disclosure of certain information is necessary to protect people, establish the circumstances, comply with legal requirements or cooperate with competent authorities.
10.7. Harassment, threats, discrimination or other adverse actions in response to a good-faith report of a violation are prohibited.
10.8. Making a report does not limit a person's right to contact law enforcement authorities, courts, emergency services or other competent institutions independently.
11. The organiser's response procedure
11.1. After receiving a report, the organiser determines the nature of the situation and whether urgent safety measures are needed.
11.2. Depending on the circumstances, the following measures may be taken:

- ● requiring a person to leave the Event venue in the event of a serious violation of the rules or a threat to safety;
- ● contacting the police or other competent authorities where there are grounds to do so.
11.3. Response measures must be justified, proportionate to the nature of the violation and primarily aimed at preventing further harm.
11.4. Where possible, the organiser establishes the positions of those involved and considers the available information before making a decision.
In cases of an immediate threat to life, health or safety, urgent protective measures may be taken before the circumstances have been fully established.
11.5. The organiser does not exercise law enforcement powers, determine criminal guilt or replace judicial or administrative dispute resolution procedures.
11.6. If necessary, the organiser may record information about an incident for safety purposes, to protect participants' rights and to fulfil legal obligations, in compliance with personal data protection law.
11.7. The financial consequences of restricting participation, revoking admission or ending a person's participation early are determined individually in accordance with the law, ticket purchase terms and the established circumstances. This Code does not provide for the automatic loss of the right to a refund in every case.
12. Personal data protection
12.1. Personal data obtained in connection with registration, participation, accessibility requests or incident reports is processed in accordance with Ukrainian law and the Privacy Policy of TEDxUzhhorod.
12.2. The organiser follows the principle of data minimisation, collecting only information necessary for specified lawful purposes.
12.3. Access to information about incidents, personal requests, specific needs and other sensitive matters is granted only to authorised persons within the scope of their duties.
12.4. Personal data may not be used for purposes incompatible with the purpose for which it was lawfully obtained without an appropriate legal basis.
12.5. Participants may exercise their rights as data subjects in the manner prescribed by Ukrainian law and the Privacy Policy.
13. Participation of minors
13.1. Minors participate subject to their age, the nature of the Event, the admission conditions set by the organiser and applicable legal requirements.

13.3. The organiser pays particular attention to protecting the rights, privacy and safety of participants who are minors.
13.4. Any behaviour that threatens a child's safety, including harassment, psychological pressure, intimidation or unlawful use of their personal data, is unacceptable.
