1.5. These Rules form part of the ticket purchase terms, are brought to the purchaser’s attention before payment and apply together with the information published on the ticket sales page.
1.6. If sales are made through a third-party platform, its technical rules apply to payment operations, electronic ticket generation and delivery, provided they do not conflict with Ukrainian law or the agreed ticket purchase terms.

3.6. Where other ticket operators are used, sales terms, payment methods, ticket delivery and technical refund procedures may differ. These differences may not restrict purchasers’ rights established by Ukrainian law.

4.4. The purchaser is responsible for the accuracy of the contact details they provide, including their email address and telephone number.
4.5. An order is considered complete once the relevant payment system confirms successful payment and the seller records the order.
4.6. If the payment system declines the payment or a successful transaction has not been confirmed, the ticket is not considered paid unless the seller confirms receipt of the funds by another appropriate means.
4.7. Tickets are sold subject to available capacity.
4.8. The Organiser may stop sales once the attendance limit is reached or due to other justified organisational or safety circumstances.
5. Ticket prices and payment procedure
5.1. Ticket prices are stated in Ukrainian hryvnias on the official sales page.
5.2. The Organiser may offer several ticket categories, different sales periods, special offers or promotional codes.
5.3. The final amount payable is shown to the purchaser before payment confirmation and includes all mandatory payments payable under the particular order.
5.4. If a service charge, operator commission or other mandatory payment is charged separately, information about its amount, recipient and refund terms must be available to the purchaser before payment.
5.5. Payment is made using one of the methods available on the payment page.
5.6. Payment details are processed by the relevant payment provider. The Organiser must not receive full bank card details where they are processed directly by the payment service.
5.7. After successful payment, the purchaser receives a payment confirmation and an electronic ticket in accordance with the capabilities of the selected sales channel.
5.8. Payment documents are generated and provided in the cases and manner required by Ukrainian law.
5.9. The Organiser may change the price of tickets available for future sale. Such changes do not affect the price of an order that has already been duly paid.
6. Electronic tickets and delivery
6.1. Tickets for TEDxUzhhorod may be provided electronically.
6.2. An electronic ticket confirms its holder’s right to attend the Event in accordance with the purchase terms.
6.3. When the WayForPay Tickets service is properly configured and used, the electronic ticket is generated after successful payment and sent to the email address supplied by the purchaser.
6.4. A ticket may contain:
- ● the Event’s name;
- ● the date and venue;
- ● the ticket category;
- ● a unique number;
- ● a QR code or another identifier;
- ● additional information required for access control.
6.5. The purchaser must check that the email address provided is correct and retain the electronic ticket until the Event has ended.
6.6. Failure to receive the ticket email does not automatically mean that payment was unsuccessful or that the purchaser’s right to receive the paid service has ended.
6.7. If payment is confirmed but the electronic ticket has not been received, the purchaser may contact the Organiser to verify the order and restore access to the ticket.
7. What to do if your ticket does not arrive after payment
7.1. If the electronic ticket does not arrive after successful payment, the purchaser is advised to:
- 1. Check the Spam, Promotions and other email folders.
- 2. Check that the address provided during payment is correct.
- 3. Check for confirmation of a successful transaction.
- 4. If using WayForPay Tickets, check the Tickets section in the WayForPay account.
- 5. Contact the Organiser if necessary.
7.2. To verify the order, the purchaser is advised to provide:
- ● first and last name;
- ● the email address used for payment;
- ● the telephone number supplied during checkout;
- ● the payment date;
- ● the order or transaction number, if known.
7.3. The Organiser checks the systems available to it for confirmed payment and takes steps to reissue the ticket or provide other proper confirmation of the right to attend the Event.
7.4. If technical circumstances prevent the ticket from being regenerated but payment is reliably confirmed, the Organiser may provide an alternative registration and admission method.
7.5. The absence of a ticket email alone is not grounds for refusing admission if the ticket purchase can be properly confirmed, the ticket remains valid and there are no other lawful obstacles to attendance.
7.6. The Organiser does not require full bank card details, CVV/CVC codes, passwords, one-time banking codes or other information unnecessary for payment verification.
8. Admission to the Event
8.1. Admission is based on a valid electronic ticket, invitation or other confirmation of the right to participate agreed by the Organiser.
8.2. On entry, the participant presents an electronic ticket with a QR code or another identifier for verification.
8.3. If the scanning system has a technical fault, the Organiser may verify the ticket using the order number, the purchaser’s contact details or another available method that reliably confirms the right to attend.
8.4. Each ticket grants the right to participate in the Event to the extent provided for by its category.
8.5. Unless otherwise stated, one ticket admits one person.
8.6. Once a ticket has been used for entry, it may not be reused by another person.
8.7. Participants must comply with the Code of Conduct, Inclusion and Safety of TEDxUzhhorod, the venue rules and lawful safety requirements.
8.8. The Organiser may refuse admission or terminate a person’s participation on lawful and justified grounds, including a serious breach of safety rules or a threat to others present.
8.9. Refunds where admission is refused are considered in light of the reasons for refusal, the contract terms and applicable law.
9. Transferring a ticket to another person
9.1. Whether a ticket can be transferred to another person depends on its category, sales terms and the technical capabilities of the registration system.
9.2. If a ticket is personalised, the participant may be changed in accordance with the procedure agreed by the Organiser.
9.3. The purchaser is advised to contact the Organiser in advance to clarify whether the participant’s details can be changed.
9.4. Copies of the same electronic ticket may not be used to admit more than one person.
9.5. The Organiser is not responsible for the risks of buying tickets from unofficial intermediaries in the cases and to the extent established by law.
9.6. Complimentary personal invitations, partner accreditations and special access categories may have separate transfer terms, provided those terms are communicated before the person receives the relevant invitation.
10. Changes to the programme and speakers
10.1. The Organiser makes reasonable efforts to hold the Event in accordance with the announced programme.
10.2. Organisational, professional, technical, logistical, medical or safety circumstances may result in changes to:
- ● the order of talks;
- ● the timing of individual sessions;
- ● the speaker line-up;
- ● the format of individual talks;
- ● the length of breaks;
- ● other elements of the programme.
10.3. The Organiser communicates material programme changes through official information channels and, where possible, directly to registered participants.
10.4. Minor organisational changes that do not alter the substance of the purchased service do not, in themselves, automatically constitute cancellation of the Event.
10.5. If a programme change is material and affects essential terms of the purchased service, the purchaser’s rights to amend or terminate the contractual relationship are determined by Ukrainian law and the contract terms.
10.6. A change or absence of an individual speaker is assessed in light of whether that person’s participation was an essential condition of the ticket purchase and how the Event was presented to the purchaser before payment.
11. Voluntary cancellation by the purchaser
11.1. If the purchaser cannot attend the Event for personal reasons, they may submit a cancellation and refund request to the ticket seller.
11.2. Such a request may be submitted to the email address designated for ticket sales and refunds.
11.3. The request must state:
- ● the purchaser’s first and last name;
- ● a contact email address;
- ● the order number;
- ● the number of tickets covered by the request;
- ● the nature of the request;
- ● additional information objectively necessary to identify the order.
11.4. Eligibility for and the amount of a refund upon voluntary cancellation are determined in accordance with Ukrainian law and the agreed ticket purchase terms, taking into account the nature of the service, when the request was made, the status of performance of the obligations and duly substantiated circumstances.
11.5. Any specific discretionary terms established by the Organiser for refunds at the purchaser’s own initiative must be brought to the purchaser’s attention before payment.
11.6. The Organiser does not apply provisions for the unconditional forfeiture of all amounts paid where such a condition conflicts with Ukrainian law.
11.7. Specific request deadlines or voluntary refund rules do not restrict the purchaser’s right to claim a refund on statutory grounds, including failure to provide or improper provision of the paid service.
11.8. Refunds for a ticket already used to attend the Event are assessed taking into account the actual extent of the service provided, any defects in it and applicable legal provisions.
12. Cancellation of the Event
12.1. The Event is considered cancelled if the Organiser makes a final decision not to hold it on the scheduled date without setting a new date as a continuation of the original event.
12.2. If the Event is cancelled, the Organiser announces this through official information channels and, where the relevant contact details and lawful grounds are available, also directly to purchasers or through the ticket operator.
12.3. As far as possible, the cancellation notice must include:
- ● information about the cancellation;
- ● the reason or general nature of the circumstances;
- ● the procedure for submitting refund requests;
- ● contact information;
- ● the timeframes and procedure for further steps.
12.4. If the Event is cancelled, purchasers may make the claims for refunds for an unprovided service available under the law.
12.5. Ticket prices are refunded in accordance with applicable law, the contract terms and the payment procedure.
12.6. Refunds of separate service charges or additional payments are determined according to their legal nature, recipient, collection terms and the requirements of Ukrainian law.
12.7. The Organiser does not apply an automatic no-refund rule solely because cancellation arose from circumstances beyond its control.
13. Rescheduling the Event
13.1. The Organiser may decide to reschedule the Event where objective circumstances make holding it at the planned time impossible or impracticable.
13.2. When rescheduling, the Organiser announces the new date and other material Event arrangements as soon as the relevant decision is made.
13.3. The Organiser may offer purchasers the option to retain the validity of tickets already purchased for attendance at the rescheduled Event.
13.4. If the purchaser does not agree to the rescheduling or cannot attend on the new date, they may submit a refund request.
13.5. Such requests and refunds are considered in accordance with Ukrainian law and the contract terms.
13.6. Rescheduling may not be treated as grounds for automatically and unconditionally depriving a purchaser of a refund right established by law.
14. Air raid alerts, martial law and emergencies
14.1. The Event takes place in Ukraine under martial law, which may give rise to additional safety risks.
14.2. In the event of an air raid alert, a threat of missile or other attack, fire, technical accident or another dangerous situation, the Organiser may and, where required by law, must suspend the programme, arrange evacuation or take other necessary action.
14.3. Participants must follow lawful instructions from responsible persons and proceed to the designated shelter or another safe place.
14.4. The Event may resume only once the relevant danger has ended and the possibility of safely restarting the programme has been assessed.
14.5. Depending on the duration and nature of the circumstances, the Organiser may:
- ● temporarily suspend the programme;
- ● change the order of talks;
- ● shorten individual organisational elements;
- ● reschedule part of the programme;
- ● move the Event to another date;
- ● end the Event early or cancel it.
14.6. In the event of a substantial reduction in the programme, early termination or inability to provide the paid service to the agreed extent, purchasers’ rights are determined in light of the actual circumstances, the nature of the unfulfilled obligations and Ukrainian law.
14.7. Force majeure circumstances may affect the parties’ liability for breaches of obligations under the conditions prescribed by law. However, their occurrence alone does not automatically terminate all obligations or unconditionally remove the purchaser’s right to claim a refund.
14.8. The Organiser does not guarantee that the programme will be free from forced interruptions caused by safety threats, but takes appropriate steps to protect those present and inform them of decisions made.
15. Procedure for reviewing refund requests
15.1. Refund requests are submitted to the ticket seller or through its designated support channel.
15.2. A request is submitted electronically to: tedxuzhhorod@gmail.com
15.3. The request must contain sufficient information to identify the relevant order and consider the claim.
15.4. To substantiate the circumstances, the Organiser may request the ticket, payment document or other information needed to verify refund eligibility.
15.5. The Organiser must not request excessive personal data or documents unnecessary under the law and for the nature of the request.
15.6. If a refund falls within the responsibility of another person who acted as ticket seller, the Organiser provides the purchaser with the appropriate contact details and, where possible, helps forward the request.
15.7. Requests are reviewed in accordance with Ukrainian law and the terms of the particular contract.
15.8. Following the review, the purchaser is informed of the refund decision, its reasons and the next steps.
15.9. If a refund is approved, it is initiated in accordance with the payment service’s procedure and within applicable statutory time limits.
16. Refunds through WayForPay
16.1. If a ticket was purchased using WayForPay Tickets, the payment may be refunded through the functionality of that payment service.
16.2. Where technically possible and legally justified, the seller initiates a full or partial refund of the relevant payment.
16.3. Funds are generally refunded to the payment instrument used for the original payment, in accordance with the procedures of WayForPay and the bank handling the payment.
16.4. Once a refund has been made, the relevant ticket is cancelled and becomes invalid.
16.5. If several tickets were purchased in one order, the ability to refund individual tickets depends on the system’s technical functionality, including the specific features of orders with promotional codes and discounts.
16.6. Technical limitations of the payment service do not deprive the purchaser of rights established by Ukrainian law. Where necessary, the seller provides another lawful way to fulfil its monetary obligation.
16.7. The actual time for funds to be credited after a refund is initiated may depend on the bank and payment infrastructure. The deadlines for the seller’s performance remain governed by applicable law.
17. Erroneous, duplicate and unsuccessful payments
17.1. In the event of a technical error, duplicate debit or another incorrect payment transaction, the purchaser may contact the seller and/or the relevant payment service.
17.2. The order number, payment date, transaction amount, transaction number and other necessary information may be used to verify the circumstances.
17.3. If payment was not completed successfully but the purchaser believes funds were debited, the transaction status must be checked with the payment service and the bank.
17.4. If an erroneous or duplicate receipt of funds is confirmed, the refund is handled in accordance with the law and the established payment transaction procedure.
17.5. The purchaser must not disclose confidential banking details or authorisation codes to the Organiser to resolve a refund issue.
18. Purchasers’ personal data
18.1. During ticket sales, personal data of purchasers and participants may be processed as necessary to place an order, make payment, provide an electronic ticket, control access and fulfil associated legal obligations.
18.2. The extent of personal data collected is determined by the nature of the service and the principle of data minimisation.
18.3. Purchasers’ information is not used for unrestricted advertising mailings solely because they purchased a ticket.
18.4. If the Organiser offers subscriptions to information or marketing messages, the relevant processing is carried out on an appropriate lawful basis.
18.5. Personal data is transferred to third-party services needed for payment, ticket generation or other functions in compliance with Ukrainian law.
18.6. The processing of personal data is described in more detail in the Privacy Policy of TEDxUzhhorod.

20.3. The Organiser takes appropriate steps, within its authority and capabilities, to resolve technical issues concerning ticket ordering and payment confirmation.
20.4. The Organiser may change organisational arrangements, suspend or reschedule the Event where objective circumstances prevent it from taking place.
20.5. In doing so, the Organiser must respect purchasers’ legal rights, including the right to information, proper service provision and refunds where the relevant grounds exist.
20.6. The Organiser may not apply terms that unjustifiably exempt it from liability or impose unfair restrictions on consumer rights.
21. Dispute resolution
21.1. The parties seek to resolve disputes arising from ticket purchase, use or refunds through direct communication and negotiation.
21.2. The purchaser may submit an enquiry or complaint to the ticket seller using the stated contact details.
21.3. The Organiser or other relevant contracting party reviews the enquiry in accordance with Ukrainian law and responds through the established procedure.
21.4. If a dispute cannot be resolved through negotiation, a person may seek protection of their rights from the competent public authorities or a court.
21.5. These Rules do not restrict the consumer’s statutory right to judicial protection.
